Approval Workflows (Manual Meeting Confirmation)
By default, LockMyCal confirms all bookings immediately as soon as the client chooses a free time. However, if you need to vet every client first or judge the relevance of the meeting, you can turn on manual approval for a meeting type.
1. Two confirmation modes
graph TD
A["Client selects a time in the form"] --> B{"Approval mode"}
B -- "Automatic (Auto-accept)" --> C["Instant meeting confirmation"]
C --> D["Written to calendars & Invitations"]
B -- "Manual Approval" --> E["Status: Awaiting approval (Pending)"]
E --> F{"Organizer reviews the request"}
F -- "Approve" --> C
F -- "Reject" --> G["Rejection message sent & slot released"]
2. Setting up manual approval
- In the Meeting Types section, open the required meeting type.
- Turn on the option I confirm every booking myself.
- Optionally set a decision deadline – if you don't approve the request by then, it expires and the slot is released.
- Save the changes.
3. Working with pending bookings
As soon as a client submits a booking request:
- You receive an email about the new request and see the notice You have meetings awaiting approval in the sidebar.
- In Meetings → Requests you see a list of all requests awaiting your decision.
- After clicking Approve:
- The meeting is confirmed.
- It is written to your connected calendar.
- A confirmation email with a link to the video conference is sent to the client.
- After clicking Reject:
- You can enter an optional reason for the client.
- The booked slot is immediately released for other interested people.
If a client reschedules a confirmed meeting, the new time goes through approval again.
