Group Voting on a Date (Meeting Polls)

When you need to schedule a meeting with a larger number of participants (e.g. 5 colleagues or external partners), a standard 1-on-1 booking link isn't enough. LockMyCal includes a full-featured tool for group voting on dates (an open-source alternative to Doodle).

How Meeting Polls work

graph TD
A["Organizer proposes several candidate times"] --> B["A shareable poll link is generated"]
B --> C["Participants mark their preferences (Yes / If need be / No)"]
C --> D["The matrix of votes is shown in real time"]
D --> E["The organizer confirms the winning time with one click"]
E --> F["An invitation with an .ics file is sent to all voters automatically"]

Three-state voting

Unlike simple Yes/No polls, LockMyCal lets participants choose from three states:

  1. Yes: The time suits me fully.
  2. If need be: I have another flexible activity at this time, but I can adapt.
  3. No: I can't attend at this time.

This system significantly increases the chance of finding a compromise date without the organizer having to repeat the poll.

1. Creating a new poll

  1. In the left menu, click Polls -> + New poll.
  2. Enter the meeting name (e.g. Quarterly planning Q2), a description and the expected duration.
  3. Choose the meeting type, which determines the location and the video call. Optionally set a voting deadline.
  4. In the interactive calendar, select the candidate time slots across different days.
  5. Click Create and copy link.

2. Choosing and confirming the final date

Once the participants have voted:

  1. Open the poll in the dashboard – you see a clear table with the votes of all respondents.
  2. The slots with the highest number of positive votes are visually highlighted.
  3. Click Book this time for the chosen slot.
  4. LockMyCal automatically:
    • Locks the poll against further voting.
    • Creates the official booking and the calendar event.
    • Sends confirmation emails with an invitation to all participants.

A poll can't be confirmed for a day that you have marked as time off.
