Meeting Prices, Currencies & Cancellation/Refunds

LockMyCal lets you charge for individual meeting types and, when one is cancelled, flexibly decide what to do with a payment that has already been made.

1. Charging for a meeting type

When editing a meeting type, in the Payments section you can choose:

  1. Paid meeting: You set a fixed price for the meeting type. The client pays it through the secure Stripe-hosted payment page (Checkout) directly in the booking step; the booking is confirmed only after the payment is successfully completed.
  2. Free booking (Free): The booking takes place without a payment requirement.

2. Supported currencies and the format of amounts

  • Support for the currencies offered by Stripe itself (over 135 world currencies, including CZK, EUR, USD, GBP, PLN).
  • All amounts are processed internally in the smallest currency units (cents) to prevent rounding errors.

3. Cancelling a paid meeting and refunds

Unlike automated "cancellation windows", the refund is always decided by the organizer manually at the moment of cancelling the meeting:

graph TD
A["The organizer cancels a paid meeting (or the client cancelled it)"] --> B["Booking cancelled, slot released in the calendar"]
    B --> C{"The organizer chooses a refund"}
C -- "Full refund (default)" --> D["The entire remaining amount is refunded via Stripe"]
C -- "Partial refund" --> E["The organizer enters the specific amount to refund"]
C -- "No refund" --> F["The organizer must explicitly confirm the choice"]
  • Default behaviour: Cancelling a paid meeting proposes refunding the entire remaining paid amount.
  • Partial refund: The organizer can enter a lower amount to refund instead.
  • No refund: You can also choose not to refund the money — this is the only choice that requires explicit confirmation, because it is the only variant in which the client gets nothing back.
  • Cancellation by the client: The client can't start a refund themselves – the organizer sees an unresolved refund on the cancelled meeting and decides on it.
  • Unresolved refunds stay visible even after Stripe is disconnected, and the price of the meeting type is kept even when Stripe is temporarily unavailable.
  • The app does not have any automatic policy based on the time before the meeting (e.g. "free cancellation up to 24 hours in advance") — it is always the organizer's decision at the moment of cancelling.
