Contacts Address Book & Client CRM [PRO]

The Contacts section serves as an integrated lightweight CRM system for keeping records of your clients, storing the history of their meetings and saving internal notes.

Pro in the cloud

Feature availability [PRO]:

  • LockMyCal Cloud (SaaS): The Contacts CRM module is available as part of the paid Pro plan.
  • LockMyCal Open-Source (Self-Hosted): In the community version, the module is accessible without any licence fees.

1. Turning on and automatic saving of contacts

You turn on collecting contacts in My Profile with the Collect contacts? switch (it is off by default).

With every new booking, LockMyCal then checks whether the client already exists in the database:

  • If they exist (by email address), the new meeting is attached to their existing profile.
  • If they don't, a new contact card is created automatically.

2. Overview and features in the contact card

In the detail of a specific contact you'll find:

  1. Basic information: Name, email, phone and company name.
  2. Meeting history: A list of past, upcoming and cancelled meetings with this client.
  3. Internal note: A private note that only you can see and that the client never sees (e.g. Interested in a year-round audit in Q1).

3. Searching and managing contacts

  • Search: By name, email or company name.
  • Add contact: Adding a client manually before their first booking.
  • Export to CSV: The Export CSV button in the list toolbar (next to the search and Add contact) appears as soon as at least one contact exists. It downloads a file contacts-YYYY-MM-DD.csv with the columns name, email, phone, company and note (the headers are in the dashboard's language). With a search filled in, it exports only the matching contacts (from all pages), otherwise all of them. The export isn't limited by your plan.
  • Deleting a contact.

Note

The file is comma-separated CSV encoded as UTF-8 with a BOM, so accented characters work in Excel. In some regional versions of Excel, a double-click may not split it into columns – open it through Data → From Text/CSV. Values starting with =, +, - or @ have an apostrophe at the start (protection against formulas), e.g. the phone '+420 ….

You can also pick contacts when sending links by email and when adding a meeting from the dashboard.
